Getting Started with OpenHouseHQ

OpenHouseHQ turns your open house into a lead list. A visitor scans a QR code at the door, signs in on their own phone, and lands in your dashboard before they've finished walking the house.

Here's the whole thing, in the order you'll actually use it. Setup takes about ten minutes.

First, the honest bit

OpenHouseHQ is in beta. It's free to use while it is, and we're still building — screens, wording and features described on this page are subject to change, sometimes week to week. If something here doesn't match what you see, trust the app and tell us so we can fix the page.

How it works, in one breath

Every listing you add gets its own sign-in page and its own QR code. You print the sign and set it by the door. Visitors scan it, fill in a short form on their own phone, and you get a text on the spot. Their details land in your dashboard, tied to that listing, ready to follow up.

No paper sheet. No squinting at handwriting on Monday morning. No typing anyone up later.

Step 1 — Create your account

Go to openhousehq.app/signup. You can use Continue with Google or an email and password — either is fine.

You'll be asked for:

  • Your full name and mobile number
  • Your brokerage
  • Optionally, your brokerage logo and a headshot — these appear on your listing pages and printed signs, so they're worth adding

You also have to tick the box agreeing to lead-alert texts. That one is required, not optional — it's how the app tells you someone just signed in at your open house, and the account can't be created without it.

If you signed up with email, confirm it from the message we send, and you're in.

Step 2 — Add your first listing

From your dashboard, choose Add a property. The essentials are the address and price; beds, baths and square feet are there if you want them.

Worth adding while you're there:

  • A property photo — it's the first thing visitors see on the sign-in page
  • An inspection report and seller's disclosures as PDFs — visitors get access to these after they sign in, which is a genuinely good reason for them to fill the form in properly
  • A virtual tour — paste a Matterport or YouTube link and it embeds on the listing page

Step 3 — Print the sign and put it out

Open the listing and you'll find its public link and a QR code, generated the moment you created it. Choose Print sign for a ready-made “scan me” flyer — black and white, designed to print properly on an ordinary office printer, with your brokerage logo on it.

Put it on the yard sign, the front door, or a tablet on the entry table. Whatever gets scanned.

Editing a listing never changes its link or its QR code. Change the price, swap the photo, fix a typo — signs you already printed keep working.

Step 4 — What the visitor sees

They scan, and get a page for that specific home on their own phone. No app to download. They enter:

  • First and last name
  • Phone and email
  • When they're looking to buy
  • Whether they already have an agent

There's also a checkbox asking whether you can text them. Visitors who don't tick it are still captured as leads — you just can't text them through the app, which is the rule the carriers set, not us.

Once they submit, they get the unlocked view of the home — the virtual tour and any disclosures you uploaded. They feel like they got something. You got a lead.

Step 5 — Your leads

Every lead appears on that listing's page in your dashboard, with their details, buying timeline, and whether they agreed to texts. Your dashboard home shows running totals across every listing.

Getting them out of the app:

  • Export CSV — all your leads at once, or just one listing's. Opens straight in Excel or Google Sheets.
  • Print the follow-up list — your working copy, full contact details with a blank notes column sized for handwriting.
  • Print the seller report — the client-facing version. Visitor counts and summary stats, names shown as “First L.” only, and no phone numbers or emails anywhere. Made to hand to your seller without handing over your leads.

Step 6 — Texting, part one: your lead alerts

This works from day one, with no setup beyond signing up. The moment someone signs in at your open house, you get a text with their name and details.

That alert includes a link that opens your own messaging app with the message already written. Tap it, edit if you like, send. You are texting from your own phone, from your own number, while they are still standing in the house.

Step 7 — Texting, part two: your own texting number

The step above sends from your phone. If you want OpenHouseHQ to text visitors automatically the second they sign in — and to send broadcasts to everyone who visited a listing — you need a texting number registered in your name.

US carriers require every business that sends automated texts to register first. It's not optional and we can't skip it for you. The good news is you fill in one form and we handle the rest.

Go to Set up your texting number from your dashboard. You'll be asked for:

  • Whether you have an EIN — if you're a sole proprietor without one, that's a supported path, just say so
  • Your business name, type and address
  • An authorized representative — for most agents that's you: name, job title, email and phone
  • A mobile number you can receive a text on — the carriers verify it, so it must be a real phone in your hand
  • An area code you'd like your number to be in, if you care

Then it goes like this:

  • Submitted — we review it. Nothing has gone to the carriers yet.
  • Registering with carriers — once approved, your details are filed. This typically takes one to three weeks. That wait is the carriers', not ours, and nobody can speed it up.
  • Confirm your mobile — at some point you'll get a text asking you to reply YES. You have 24 hours, and the registration stalls until you do it. Watch for it.
  • Active — automatic visitor texts and broadcasts switch on, sent from your own number.

You are not billed for any of this. Registration is on us while OpenHouseHQ is in beta.

While you wait, nothing is broken — you keep getting lead alerts and you keep texting visitors from your own phone using the link in the alert.

Step 8 — The inbox

When a visitor texts back, their reply lands in Inbox in your dashboard, threaded by person, and your dashboard shows a badge for anything unread. You can reply straight from there — it's a real two-way conversation, not a send-only megaphone.

Step 9 — Broadcasts

Something changed on a listing? Open it and choose Broadcast to text everyone who visited that home and agreed to texts. Three templates:

  • Price dropped — you supply the new price
  • New offer — creates urgency for anyone on the fence
  • Open house extended

The wording is fixed on purpose. Templates are what keep these messages compliant with carrier rules, and they always carry the opt-out notice. Anyone who never agreed to texts, or who has since opted out, is left out automatically — you don't have to remember who.

Step 10 — When the home sells

Mark the listing Sold. Its public page turns into a “this home has sold” view that invites nearby buyers to ask you about similar homes — so a sign someone scans three weeks late still earns you a lead.

The listing moves to the Sold section of your dashboard. Nothing is deleted. Every lead you captured stays exactly where it is. You can also archive a listing to get it out of the way, and restore it later if you archived it by mistake.

Your settings

Under Settings you can update your name, phone and brokerage, replace your brokerage logo or headshot, and change your password. Branding changes flow through to your listing pages and any signs you print from then on.

How people opt out

Every text supports STOP to opt out and HELP for help, as carrier rules require. Once someone replies STOP they receive nothing further from you through OpenHouseHQ, and they're excluded from broadcasts automatically.

This protects you as much as them. Following the rules is what keeps your number in good standing with the carriers.
